Tracking and monitoring the time of employee hours sound straightforward, but in reality, it can be a quite difficult process to manage. The complexities and globalization of today’s organizations, translates to increasing regulations, and these are just a few of the factors contributing to challenges in time and attendance tracking. Knowing when your employees are working or not, is only the starting point; and, along with daily employee activities, you also have to carefully maintain accurate readings of overtime hours, statutory holidays, vacation days accumulated, and sick days used.

In an effort to increase accuracy and productivity—and decrease costs—many of today’s organizations are not only integrating sophisticated time and attendance applications with their existing applications but they’re also carefully considering how to collect employee data to feed these applications. The right time and attendance data collector can help you automate time-consuming payroll and HR processes and provide both your employees and managers with more options. New, innovative data-collection tools, like ATS biometric time clocks, are helping organizations improve the management of data capture. Technologies like these can help you more easily manage various types of employees, reduce payroll cost and employee theft, and mitigate risk.

A Positive Mental Outlook In Life, Can Overcome Many Barriers

March 21st, 2017 | Posted by ATS in Time and Attendance Blog, Workforce Management Software | Workforce Management Software | Workforce Management Solutions - (Comments Off on A Positive Mental Outlook In Life, Can Overcome Many Barriers)

We all have this inner voice that travels with us throughout our day. When that inner voice is dwelling on happy thoughts chances are that will translate to us having a wonderful day. And, the reverse is true if those thoughts are steeped in negativity — in fact, several studies have shown that negative thoughts can limit ones options. All is not lost however, as the mind can be taught to learn differently.

A recently article by Lolly Daskal for Inc.com titled ‘Thinking About Giving Up? Read This First?’ is a perfect anecdote for anyone who’s thinking about quitting. The article points to seven reasons why you should not quit. And, reads in part:

“1. Think of the why.
Remember why you started in the first place. What did you want to achieve? What did you want to accomplish?

  1. Don’t do what is easy.
Anything great is worth fighting for.
  1. Remember it’s not over till it’s over.
Some people fold after making one timid request. Don’t be that person. Do all you can to succeed, even when the odds are against you. Even if it’s late in the final inning, you can still win it–unless you quit.
  1. Mind your attitude.
Negative thoughts create negative results. Do what you can to turn it around and replace negativity with positive thoughts.
  1. Take responsibility.
You can’t always control the results. But you own your efforts, your ideas, and your perseverance against obstacles.
  1. Keep learning.
Everyone makes mistakes and goes through rough patches. But if you learn from the things that go wrong you can redeem your failures. It’s not about avoiding adversity, but knowing how to handle it.
  1. Believe in second (and third and fourth and fifth) chances.
Just because you didn’t get it right the first time, that doesn’t mean you won’t get it right the second.”

Wow! That’s enough positive thinking for a month. Of course, the rigors of life can take their toll and, it’s not always easy, but when they do— try and find solace in articles, like the one written by Lolly Daskal and others, and that can sometimes make all the difference in the world.

Is It Time To Abolish Daylight Savings Time?

March 13th, 2017 | Posted by ATS in Employee Time Attendance | Labour cost | Overtime | Payroll | Time and Attendance Blog, Workforce Management Software - (Comments Off on Is It Time To Abolish Daylight Savings Time?)

Finding any benefit to daylight savings time is like searching for a needle in a haystack. The growing body of evidence that highlights its detrimental effects on human beings and their productivity far outweighs the incoherent argument for those who are in favour of keeping this ineffective ritual.

Is It Time To Abolish Daylight Savings Time?

An article written by Erik Sherman (which cites various studies) for Fortune, titled ‘How Daylight Saving Time Affects Your Health and Productivity’ reads in part;

“There is a productivity loss, according to David Wagner and Christopher Barnes, professors of management at the University of Oregon and University of Washington. Their studies found “workers tend to ‘cyberloaf,'” using computers for non-work purposes, on Mondays after a shift to Daylight Saving. One study, sponsored by a foam and cushion manufacturer, estimated a national productivity loss of nearly $434 million — about $1.65 per person. Wagner and Barnes say we don’t regain lost productivity in the fall when time shifts back. It takes up to 3 weeks for some to hit a normal rhythm, according to a study in the journal Sleep Medicine.”

Getting the general public to embrace and reap the benefits of the digital era and cloud computing was hard but, not as hard as trying to convince those still clinging to the outdated practice of daylight savings time. Change after all, is hard for some but given the fact that the data consistently points to an increase in; car accidents, strokes and loss of productivity-after switching the clocks for daylight savings time — it is only a matter of time before the general public, start to apply pressure to policy makers to eradicate this bi-annual tradition.

So, on Monday morning, if you feel grumpy, groggy and tired, (and with good reason) blame daylight savings time for your woes and take solace in the fact that you are not alone.

Is Work-Life-Balance Doable Or Mere Chatter?

March 9th, 2017 | Posted by ATS in Absence Management | Benefit Accruals | Time and Attendance Blog, Workforce Management Software - (Comments Off on Is Work-Life-Balance Doable Or Mere Chatter?)

Some have argued that work-life-balance is not doable for the average worker, while others have suggested it is a choice and anyone can a life outside of work and point to the attitude some European countries have towards it and, in some cases, laws that have been enacted to help employees.

The dogmatic approach to work which stems from the industrial era is still prevalent in some work environments i.e. driving to work every day for a 9:00am-5:00pm shift while, sitting at a desk, attending useless meetings, and working most evenings and weekends. Today’s workforce especially millennials, are having none of this. But what does a flexible work life look like in 2017?

Is Work-Life-Balance Doable Or Mere Chatter?

An Article in HRM Online titled ‘Men and flexible work: Why is it so difficult?’ written by Laura McGeoch it states in part; “There is also a small but growing number of men who are opting to work part-time or flexibly to better balance work and family. Others want to, but are hampered by workplace culture and social stereotypes. Thirty per cent of men – up from 16 per cent 20 years ago – now work flexibly to help care for children, according to new figures from the Australian Bureau of Statistics. Meanwhile, the number of dads working from home to care for children has doubled from seven to 14 per cent since the mid 1990s.”

The fact that many of in today’s workforce want more flexibility is driven, in part, by a growing shift and attitude towards work. Men today, want jobs that offers; flexible hours, paternal leave, the ability to work from home occasionally and not have to worry about answering a boss e-mail at all hours of the night. These changes in attitudes are also seeing more women as either the one bringing home the bigger salary or the sole breadwinner. In the short, the societal norms of how we approach work, while still pervasive is dealing with a new breed of workers that do not want to be tethered to norms of the last several decades.

So, will anything change? As with everything else it takes human being a long time to accept and/or adopt to change. Perhaps it might take generations for the real change to take place. In the meantime, the tug of war between proponents for and against  work-life-balance will continue.

You have been charged with the responsibility of purchasing a new time and attendance system for your organization. Naturally, you are immensely excited and you can’t wait to call every vendor in for demonstrations and go through every conceivable feature of the software. But wait a minute? Why do you need to go through a myriad of features that you might never use? This is a common occurrence with many companies especially ones who are in the market for a time and attendance for the first time.

Below is a list of three straightforward strategies and tips that will help you find the right solution for your business:

In The Market For A New Time And Attendance? Don’t Forget To Focus On The Fundamentals

Make a list of your requirements: Making a list will help you define the scope of your project. Also be very specific about your company’s business requirements. The more specific you can be upfront, the more detailed your vendors can be in their demonstrations and proposals.  Chances are, you will likely be awed by the latest technology advancements, during product demonstrations but it is important to keep in mind your corporate culture and how easy the solution is going to be for your users. Very often an IT person is invited, but the very people who are going to be using the system are nowhere to be found.

Think Cloud: Even if your company has no desire to deploy a cloud solution, be open minded and discuss it with your colleagues and senior management. Every company is using a cloud solution today in some way or another. Whether you are using Face Book, Drop Box, or Google these solutions are all in the cloud. And, if your company has mobile workers, a time and attendance that’s based in the cloud, with self-service portals, should be given stronger consideration. Also do not forget about data integration- any time and attendance solution that does not have the ability to integrate with your payroll, HRIS, or ERP is not a solution but another expensive piece of unusable software. In short, move on and do not waste your time with a solution that’s does not fit your business requirements.

Obtain References: This might seem all too obvious, but don’t forget to ask your potential vendor for references. If your potential vendor cannot provide at least three happy customers, they may not have the experience you need. Go to the next vendor on the list.

Too often, people select a time and attendance solution based on price, fancy features, and the latest technology. A solution that’s comprehensive, scalable, and easy-to-use should top your list. In the end, what you need is to find the company that understands your company’s requirements, and whose solution can be designed to fit your specific needs. And, once you find right solution, you will be well on achieving the ROI and long term benefits.
