Managing overtime is not an easy task, especially if your company is using manual time cards and spreadsheets — an archaic practice at best, although, several companies still track employee hours, overtime and leave policies using these tools

Tracking overtime does not have to be that hard, especially if you are using a modern time and attendance solutions. Here are excerpts from an article, on how to manage overtime, by Rob Press for online magazine TLNT titled; 6 Ways to Minimize the Impact of the New US Overtime Rules

Simplify complex policies: Review your overtime policy, reading it through the eyes of the employees. You may find that by simplifying your policy, you could actually minimize the amount of work that you need to do to approve each request.

Complex policies were actually at the root of a recent class action in California. At some company facilities, there was a flat “no overtime” policy. At others, the policy stated that prior approval for overtime must be given by two relevant managers; something that the employees stated was an “impossible task” when they were under pressure to get the job done. Ultimately, the company agreed to settle the case for $20 million.

This really shows just how many complex stages can often be involved in overtime policies, and begs the question: Could making policies more straightforward – and consistent — not only help businesses to achieve their goals, but also help to make HR and manager workloads more manageable?

Focus on organization: To manage overtime like a boss, we need to focus on overtime specifically, right? Well, maybe not. To properly manage overtime, it’s important to look at the bigger picture.

There was a very interesting study undertaken by the US Postal Service across the Northeastern states which found that managers who failed to effectively manage unscheduled leave ended up having to deal with more overtime. And the problem doesn’t end there. Even when employees do try to track their time, they’re often doing it days later, which means the hours they’re putting down probably aren’t all that accurate. According to studies of memory, people quickly forget what they learn. What did you have for lunch three days ago?

Analyze: One of the most vital aspects of good overtime management is what it can tell us about workforce practices. As an HR professional, you’re not only responsible for supporting employees, but also for supporting the business, and for raising concerns that can help it improve.

The United States Department of Labor had been contemplating updating the Fair Labor Standards Act (FLSA) for quite some time and in December (of this year) 2016, this proposed update will take effect. And this will have wide-ranging effects in just about every industry and while is being instituted in the United States it will be felt in Canada as several Canadian companies have subsidiaries and/or remote employees in operate in the very regions where this propose overtime rule will take effect.

This change also means that, for several organizations, these upcoming changes will require adhering to; how employees are classified, observing hours worked, how time is tracked and, the manner in which overall compensation is paid. Once this law is enacted, it’s anticipated that companies will have 60 days to comply with these new regulations-and if companies choose not to comply, they will subjected to fines and penalties.

An excerpt from The Department of Labor, states, in part;

“The Department is proposing to update the regulations governing which executive, administrative, and professional employees (white collar workers) are entitled to the Fair Labor Standards Act’s minimum wage and overtime pay protections. The Department last updated these regulations in 2004, and the current salary threshold for exemption is $455 per week ($23,660 per year). With this proposed rule, the Department seeks to update the salary level required for exemption to ensure that the FLSA’s intended overtime protections are fully implemented, and to simplify the identification of nonexempt employees, thus making the executive, administrative and professional employee exemption easier for employers and workers to understand and apply.”

Conventional wisdom says that hard work always pays off in the end but when does hardware become overworking? Clinical physiologist have long lamented that our desire to overwork is counterproductive which lends itself to some of the following:

1. Lack of sleep, anxiety and depression which creates a higher chance of a heart attack
2. Constant state of impatience and irritability most of the time
3. Huge amounts of stress which can be addicting

An article by Minda Zetlin Co-author for the ‘The Geek Gap’ published an article on Inc.com titled “10 Reasons to Stop Working So Hard” In no particular order we selected three of the most impactful reasons in the article:

“Sleep matters-The way to a more productive, more inspired, more joyful life is getting enough sleep,” Arianna Huffington said in a 2011 TED talk. She would know. She fainted from exhaustion and broke her cheekbone and is now something of a sleep evangelist. “I was recently having dinner with a guy who bragged that he’d gotten only four hours’ sleep the night before,” she continued. She considered retorting: “If you had gotten five, this dinner would have been a lot more interesting.”

You’re setting a bad example-The work schedule and tone you set for yourself will likely be mirrored by the smartest and most ambitious of your employees. What kind of leaders and bosses do you want them to be? Do you want the benefit of their brightest ideas and best judgment? Then don’t create an environment where everyone vies to see how many hours they can work without falling over.”

Most of the work is less important than you think-A few years ago, hospice worker Bronnie Ware famously published the top five regrets she heard from her dying patients. Those who’d had careers all regretted the number of hours they spent at work. But many of her patients also spoke of dreams they wished they’d fulfilled.”
