Earlier this month, the topic of doctor “sick notes” became a hot topic when The Ontario Medical Association (OMA) mentioned that too much of it, takes away from their members regular duties. The media spent a considerable amount of time on the subject and it appears to have hit a nerve with both employee and employers alike.
In a recent CareerBuilder survey, featured on forbes.com website is a list of the excuses employees gave when they called in sick. Some of them are downright funny, while others sound incredulous at best.

Below is a partial list of these excuses:

Excuse: Employee said the chemical in turkey made him fall asleep and he missed his shift.
Excuse: Employee’s false teeth flew out the window while driving down the highway.
Excuse: Employee felt like he was so angry he was going to hurt someone if he came in.
Excuse: Employee said that someone glued her doors and windows shut so she couldn’t leave the house to come to work.
Excuse: Employee’s favorite football team lost on Sunday so needed Monday to recover.

Some companies have policies in place where each employee has a few paid days that can be used for personal things for such as sick, floaters etc. Some of the respondents to the Globe and Mail article mentioned something as basic as trust between an employer and employee.

Would an Absence and Leave Management System help? It can, but that all depends on the corporate culture of an organization and the communication with its employees.  So, as the frigid temperatures of 2014 continues so, does the debate of calling in sick.

All Canadian provinces require that employers document hours of work, overtime, breaks, and leave time. A reliable time and attendance system helps payroll and HR departments manage employees hours, track attendance and remain compliant with work-rule policies of each province. ATS workforce management solution include: biometric time clocks, workforce analytics, employee self-service, forecasting and budgeting, business intelligence, swipe and proximity time clocks and workforce scheduling.

Here are 3 ways to help your payroll and HR department:

Enhance Productivity: Companies that use an employee time and attendance solution report an increase in productivity among workers. ATS timekeeping system transfers collected data to payroll and HR applications electronically. This automated process helps further reduce errors and allows payroll and HR managers to spend time working on other important task, instead of wasting time manually calculating employee time.

Accuracy is Improved: Handwritten timesheets are often difficult to read and contain numerous calculation mistakes. Manual timesheets also pose the risk for record abuse whether from simple mistakes when this system heavily relies on the “honour” system. By automating the collection of employee time companies can ensure calculation policies are applied correctly and consistently across all employees.

Increase Employee Engagement: ATS TimeWork time and attendance provides companies with an effective tool for track and measure the performance of their workforce. With the employee self-service module HR departments or managers can be alerted when an employee request a time-off. The ATS time and attendance typically delivers an 80% reduction in time and attendance administration. Big data, workforce analytics and data intelligence are part of today’s conversation when it comes to time and attendance, payroll, HR and ERP. Organizations, both small and large need tools to run efficiently and a big factor in making that a reality is the company’s ability to gather relevant employee data. Business executives want to know if they are profitable and need access to up-to-the-minute workforce management data.

Webopedia  defines “Big Data in these terms:
“Big data is a buzzword, or catch-phrase, used to describe a massive volume of both structured and unstructured data that is so large that it’s difficult to process using traditional database and software techniques. In most enterprise scenarios the data is too big or it moves too fast or it exceeds current processing capacity.

While the term may seem to reference the volume of data, that isn’t always the case. The term big data, especially when used by vendors, may refer to the technology (which includes tools and processes) that an organization requires to handle the large amounts of data and storage facilities.

The term big data is believed to have originated with Web search companies who had to query very large distributed aggregations of loosely-structured data.”

Profitable Companies Yearn For Happy Employees

January 21st, 2014 | Posted by Apex Time Solutions in Time and Attendance Blog, Workforce Management Software - (Comments Off on Profitable Companies Yearn For Happy Employees)

Over the years the debate about what makes a great company has been discussed to no end by countless pundits and scholars alike. Great companies seek to achieve profitability and happy employees at all levels of an organization. One will simply not work without the other. In cases, where companies are pulling in record profits and their employees are not treated well, chances are…those profits will not last. We found this article, written by Meghan M. Biro a contributor to Forbes.com to be both profound and inspiring.

The article is titled “Happy Employees = Hefty Profits” and includes a list of 5 tools that companies can use to foster a great working environment for employees.

Profitable Companies Yearn For Happy Employees

“1) Pay fairly. At the end of the day, it’s about the pay. Yes, many employees love their work, love their jobs, love their colleagues, but the bottom line is they are there to earn a living. Smart leaders pay people well. This is non-negotiable.

2) Deliver awesome benefits. Whether it’s a good health plan, childcare, transportation, a fitness center or free lunch on Fridays, benefits make people’s lives easier and better. They feel appreciated and cared for, which leads to increased loyalty and a willing to go the extra mile.

3) Keep an open leadership door — and an open mind. Numerous studies have down that when management is approachable and responsive, employee engagement soars. People spend a big chunk of their lives at work, and when they feel voiceless their frustration grows. Actively solicit feedback via social media and old-fashioned management by walking around.

4) Share the profits. When employees share in the good times, their investment in the company grows and they will be far more likely to work hard — and to dig deep during the not-so-good times. When the international literary sensation Fifty Shades of Gray lifted publisher Simon & Schuster to record profits, the company gave every employee a $5000 bonus. This is just plain smart leadership.

5) Make your workplace fun. No, I don’t mean cheesy balloon-a-thons and annoying rah-rah rallies. This is about encouraging people to bring their personalities, quirks and passions to work. This leads to an increasingly seamless work/life mesh, a sense that people can really be themselves at work. Games, laughter, fun are great stress relievers; they renew and refresh us, and build very real bonds between employees.”

So, if your company is using the 5 tools above, then kudos to you!

Today’s workforce is rapidly changing with the advent of web-based technologies. Employees are no longer interested in being tethered to a desk when most of the work can be done with tablets or smart phones. At the same time, companies want workers to be informed and remained connected.  Deploying ATS cloud-based workforce management solution makes it that much easier.

Cloud-Based Solutions Are Changing The Business Landscape

The 1990’s and early 2000s approach to time and attendance, in large part, meant installing software on a company’s server and other workstations. These workers would then be tied to their desk to access the data and print reports. Now managers and employees alike want instant access to their related information via any workstation or mobile device with access to their Internet.

ATS approach to 21 century time and attendance means:

  • Employees can review their schedules, overtime, accrual benefits and request time off through a mobile device
  • Managers can get instant alerts to their e-mails when an employee request time-off
  • Companies can stay informed with up-to-the minute workforce analytics
  • Payroll and HR managers can navigate payroll and other HR related reports to understand attendance trends
  • Senior executives can access real-time business intelligence on-the-fly

ATS transforms the way you access your cloud-based time and attendance. The solution allows you to implement your business goals faster, increases user adoption and provides a rapid return on your investment.

Cloud-Based Solutions Are Changing The Workforce

While there is no doubt that implementation and support tops the list for many companies who experience woes with their software, proper configuration should top that list as well.

Here are the top 5 items to pay attention to ahead of your implementation:

Documentation – Make a list your business challenges for your new workforce management system, including: overtime, benefit accruals, attendance management and these should all tie into your company’s corporate business objectives.

Easy does it- If a large portion of your employees are in production, start there first and keep it simple. A rapid return on investment (ROI) will come from your web-based time and attendance when the implementation is done in meaningful phases.

Review the implementation plan-Do not be discouraged if the pay categories and premiums are not working in accordance with your company’s policy. This is the perfect time to review and keep tweaking. Take the long view and remember the solution is designed to last for a many years.

Track and measure – If you are coming from a paper-based environment track the amount of time it takes to capture and calculate employee data against your previous manual process. Next measure the impact the solution has on the productivity of your business -you will be pleasantly surprised at the benefits.

Prepare operational managers for adoption of the application– while “train the trainer” is a good way to cut costs, training should never be underestimated. In fact, training is as important as implementation and after sales support. The best way to make full use of training is to use it in small blocks. In that way, information will be retained, resulting in higher user adoption of the system.
