Companies using an outdated workforce management solution not only fail to take advantage of the latest technology advancements and functionality, but they also run the risk of relying on an unsupported and an increasingly unreliable system-thus, making their entire business vulnerable.

Using a reliable and modern workforce management solution has many benefits. However, in order to quantify the benefits of such a system, you first have to know what to look for.  ATS workforce management solution can help you in different areas.

Here are three benefits of an ATS Workforce Management Solution that will deliver immediate results to your business:

Paper Reduction
ATS Workforce Management Solution will reduce the cost associated with creating and distributing paper timesheets. Cost savings result from:

  • Direct savings from reduced paper, printing, and distribution costs
  • Indirect savings from time spent handling paper timesheets

Paperwork Transfer
A big expense with a manual time tracking systems is that of transferring timesheets from one person to another. For example, the employee needs to get blank timesheets from the HR or payroll department. They fill out the timesheet and walk it over to their manager. The manager signs the timesheets and walks them to the payroll department.  A very conservative estimate of the direct time spent on simply transferring the paper timesheet around would be 2-3 minutes per employee each pay period.

Improved Data Quality
Manual timesheets must be keyed into a computer in order to be processed for payroll. Whenever data is keyed into a computer from a hand-written document, errors will be made. These errors can cost you in many direct and indirect ways:

  • Incorrect pay. How many employees complain if they get overpaid? If even a small number of employees keep their overpayments, it is costing plenty. And when employees get underpaid and complain, issuing a new paycheque or adjustment is costly.
  • Without accurate information, you lose the ability to perform useful decision support. Payroll is the biggest controllable expense in most organizations. You should have accurate information about hours worked, and departments worked in, to support your decision.

This on-the-go application provides managers with real-time reporting capabilities, an intuitive dashboard with workflows and, a messaging centre to review employee requests and respond in accordance.

Ask this question to executives in the manufacturing sector and you are bound to get several different answers, albeit there will be similarities in those answers. It’s no secret that the manufacturing industry has had to adapt and evolve to the rapid changes around them in order, to survive-while dealing with some naysayers who had left them for dead after one of this century’s worst financial crisis.

But who would know the inner workers of the manufacturing industry and its resilience and ability to adapt than anyone else?  How about the President and Chief Executive Officer, Manufacturers Alliance for Productivity and Innovation who penned a poignant article titled “Three Megatrends Transforming Manufacturing”. We tool the liberty of extrapolating some of paragraphs (in no particular order) which reads in part;

“We’re entering a new industrial age driven by digitalization, customization, and miniaturization that is transforming the nature of work in manufacturing. Since the turn of the millennium, the sector has evolved faster and more thoroughly than at any other time in history.”

The rise of the digital era has impacted all industries especially manufacturing. The article states that “The ability to collect and analyze large volumes of data in economic transactions has revolutionized customer care in the retail and finance sectors. In manufacturing, Big Data will accelerate the integration of IT, manufacturing and operational systems on the shop floor and lead to better forecasting and understanding of plant performance. Caterpillar is taking this a step farther, tracking the performance of its products in the field after purchase and offering maintenance and repair services based on real-time assessments.”

What’s Fueling The Growth In Today’s Manufacturing?

If you are still wondering whether the industry can adapt here is a final paragraph from the article; “Of course, manufacturers’ labor needs are changing as well: companies now rely on more automation and require fewer employees, and those they hire must demonstrate higher science, technological and math skills. Fortunately, the millennial generation—as large as the baby boomer generation—is more technologically sophisticated. And, as the manufacturing workforce has diversified over time, manufacturers are working to continually foster more inclusive environments.”

The title of this blog asked?  “What’s Fuelling The Growth In Today’s Manufacturing”? The answer is simple-it’s the ability of the industry to adapt and evolve with the times.  Many of today’s manufacturers face constant pressure to produce a top quality product on time, every time. And, the economic fluctuations, shortage of skilled labor and market governance, and adherence to workforce compliance mandates adds to the complexities that manufacturers face every day. To meet these challenges many of these manufacturing companies have adopted Workforce Management Solutions to help them keep pace with the digital era, streamline costs and improve productivity at all levels of their operations.

A recent survey of global manufacturing companies found that 25 % of them say they have invested in artificial intelligence and cognitive computing technologies as well as in 3D printing and additive manufacturing technologies.

This survey, conducted by auditing firm KPMG, reported that another 39% of manufacturing executives polled, said that over the next two years, they plan to devote a significant amount of R&D resources towards robotic technologies. Considering the competitive landscape that today’s manufacturing companies are faced with, it’s no surprise that many of them are migrating to cloud-computing technologies, as they grapple with tight profits margins and the confluence of emerging new technologies.

Manufacturing Companies are Embracing AI, Robotics and Other Advanced Technologies

And, according to Doug Gates, KPMG’s Global Chair of Industrial Manufacturing; “Manufacturers recognize a failure to evolve will leave their organization in a non-competitive position.” When you consider the upheaval that many of these companies went through after the 2008 recession, it’s no wonder many of them are adopting advanced technology.

Another part of KPMG’s Doug Gates, analysis states, in part, “The need to become more digital has never been greater and investments in new technologies are a way to enhance agility, flexibility and speed to market when launching new products and services-critical elements for manufacturing companies to win in the marketplace.”

If your manufacturing company is still deciding whether to deploy a cloud-based workforce management solution and/or other advanced technology, it’s never too late. In an era of increased work stress some have argued that for some companies, their balance sheet is more important than the well being of the people who help them achieve their profits. But, is it really possible to have a happy workforce and at the same time, have a healthy balance sheet? There are numerous companies who have attained both goals and for them it’s a no-brainer. One such company is called G Adventures and reading this story about them is like being on one of the rides at Disneyland.

The question remains why do some companies insist on making their workforce miserable while others understand the value in a happy workforce? In an article titled “Being Happy at Work Matters” written by Annie McKee, for Harvard Business Review, we extrapolated two paragraphs that lends powerful credence to importance of a happy workforce. It reads in part;

“Disengaged, unhappy people aren’t any fun to work with, don’t add much value, and impact our organizations (and our economy) in profoundly negative ways. It’s even worse when leaders are disengaged because they infect others with their attitude. Their emotions and mindset impact others’ moods and performance tremendously. After all, how we feel is linked to what and how we think. In other words, thought influences emotion, and emotion influences thinking.

It’s time to finally blow up the myth that feelings don’t matter at work. Science is on our side: there are clear neurological links between feelings, thoughts, and actions. When we are in the grip of strong negative emotions, it’s like having blinders on. We focus mostly — sometimes only — on the source of the pain. We don’t process information as well, think creatively, or make good decisions. Frustration, anger, and stress cause an important part of us to shut down —the thinking, engaged part. Disengagement is a natural neurological and psychological response to pervasive negative emotions.”

So with such solid science behind the importance of a happy workforce, are you one of the lucky employees who got hired by a great company? After all, not all companies espouse the virtues of having a wonderful workforce. And, the same can be said that not all employees are the best to work with either.

One of ATS largest customers, in manufacturing healthcare, with 7 locations across Canada and the United States said it best;

“I wish our company had a more open mind to using a web-based time tracking system before. It’s only after implementing the ATS TimeWork that we began to see the benefits. Our employees no longer bombard their supervisors and our HR department with questions about time-off requests, scheduling and confirmation of hours worked prior to be paid, because, they can now do it online. Our financial controller is happy, because she can access the reports she wants at anytime and the best part of this system, is that our payroll department is no longer taking 2 and a half days to complete payroll. With 1500 employees our payroll and benefits personnel was spending too much time with our old-fashioned time and attendance system that could not keep up with the times and to top it off, the support was dismal.” Leggatt, VP of Operations-Owens Health Manufacturing

Evolving businesses are driving workforce management solutions

February 4th, 2014 | Posted by Apex Time Solutions in Payroll | Time and Attendance Blog | Time and Attendance Solution | Workforce Management Software - (Comments Off on Evolving businesses are driving workforce management solutions)

Due to the growth of the cloud, business executives will be seeking out new workforce management solutions with a high degree of flexibility. Many executives understand the benefits of a cloud-based time and attendance and are encouraging their managers, to explore these options.

Cloud-based workforce management software positively affects the entire organization. It creates efficiencies throughout the entire supply chain and provides businesses with access to the most up-to-date status on attendance and real-time reporting capabilities. Production managers are notified through e-mail alerts, when an employee request time-off and HR and payroll managers have instant access to attendance trends on any smartphone or tablet device from anywhere.

However, companies that are using manual timesheets struggle because they do not have access to recent and reliable information and, this can create problems in today’s fast-paced world. Companies, who leverage the benefits of an effective workforce management solution, report a decrease in the amount of time it took to predict payroll costs and other important business variables.

ATS delivers a best-of-breed portfolio of time and attendance solutions, giving companies the flexibility, choice, and control needed to drive innovation and agility into their businesses. ATS software-As-A-Service (Saas) time and attendance solution is built from the ground up and leverages ATS’s industry expertise, to enable you to execute your business strategies at scale and adapt your processes quickly and easily.

So, how does your competitor leverage a cloud-based workforce management to their advantage? They recognize that to remain competitive and increase profits, doing the same thing from 10 years ago will not work. So, they choose to utilize tools that will help their business grow, streamline costs and above all, increase productivity. An ATS time and attendance system does that and a great deal more.

In some of our previous blogs we discussed how something as simple as a time management system is made complicated by industry jargon that confuses the customer. Quite frankly it doesn’t have to be that way. The tracking of employee time through our time and attendance software is a very simple process. However, some people make it seem complicated. Of course, we are not suggesting that you purchase for its simplicity and while ignoring its ability to adapt to your company’s work policies. ATS time and attendance software was designed to meet the most complex needs of an organization and at the same time, can be scaled down. The product is intuitive, user-friendly and has a modern look and feel that utilizes today’s web-based technology concepts.

The advent of automated time management was borne out of changing times. In years past, it was customary for a company with many employees to use paper time sheets or punch clocks to register attendance. Despite advances in technology, some companies still use antiquated methods to track employee time in the 21st century.

Industry giants like the Canadian Payroll Association, American Payroll Association and the Aberdeen Group have been commissioned on numerous occasions to conduct surveys. The conclusion of these surveys has revealed that it costs businesses using paper based time sheets 1.5% to 10% of gross payroll.

Leading organizations of all sizes are implementing ATS automated workforce management system and as a result, are seeing a significant reduction in payroll and labour costs.
