Rupert Murdoch’s bid for Time Warner sent shockwaves throughout the media business landscape. This bit of news dominated the airwaves and online forums, this past week and while there have been a lot of chatter, permeated with questions its clear one of the reasons has to do with the shifting landscape of how consumers watch their favorite shows. TV has been the dominate force for many years with weekly series, when all of a sudden, it appears that the tide is turning in favor of on-demand shows.

In the last several years, On-Demand Internet streaming companies like Netflix, HBO and Hulu have had cable TV companies screaming in frustration at the success of popular shows like; Game of Thrones, Breaking Bad, Weeds and countless others that are being watched online by the very customers that were loyal to watching weekly TV series. Why bother waiting for next week when you can watch three episodes in one night? Many analysts and industry executives are predicting, Rupert Murdoch’s 21st Century Fox conglomerate will not give up in its pursuit of Time Warner for a host of profitable reasons among others.

$76 Billion And Counting…

While some of today’s time-tracking software applications have similar functions, there are significant differences between various products. To some degree many organizations have their own idiosyncrasies and what works well for one company might not fare as well for another company. At times there is too much emphasis on the up-front price which can derail the benefit of getting a good return on your investment.  Companies would be wise to choose a solution that can handle their specific challenges with the right labour analytics to support the software.

Taking the time to select a time and attendance solution that best fits a company’s particular requirements will go a long way in avoiding problems. With a slow rebounding economy, some companies are so eager to cut costs they end up selecting the cheapest solution based on the assumption that all software is created equal. When this happens, a company can end up with a time management system that does not have the capability to meet their requirements.

A time and attendance solution for a company with one location will be different from a company with a head office in Vancouver and multiple sites across Canada and the United States.ATS TimeWork can be deployed in companies with 50 employees and scaled to organizations with thousands employees while meeting the needs of divergent business models.

A thorough analysis of you company’s business practices will uncover areas for improvement and will also help in selecting the right employee time management system the first time. One of the best ways for a company to select the right solution is to define its requirements and create an implementation strategy.

All Time and Attendance Systems are not Created Equal

Several months ago one of our account representatives received a request for quotation (RFQ) from a prospective customer. With the help of one of our pre-sales engineers, we pored over the requirements and discovered some inconsistencies with the list.  Upon discussing those findings with the prospect, we discovered that the list of requirements was generated from the quotation of another vendor. Of course, it’s not unusual to find requirements submitted by a prospective customer that were in fact, created by a vendor to sway the customer’s buying decision in their favour. However, what was unusual in this case, is that this particular prospect, had not taken the time to figure out their actual requirements. Without this important piece of information, they could not state what kind of time and attendance system would best fit their needs.

By carefully taking time to write down a list of requirements, customers stand a better chance of avoiding software problems. Choosing the right time and attendance requires a plan. It’s important to note, that despite what you might be told, not all time and attendance applications are created equal.

Some companies are so caught up on the price that they end up selecting a time and attendance system that lacks the capability to address what they want out of the application. A thorough analysis, including probing questions about how an organization is currently working, can uncover areas for improvement. This is a good starting point that can help in selection of the right employee time and attendance system.

The right time and attendance software can facilitate things like: data integration, labour, employee data collection and business intelligence reports all of which can be extremely beneficial to companies that are looking to streamline business processes. One of the best ways for companies to go about choosing a time and attendance software is to define an implementation strategy.

If companies follow some of this advice in choosing an employee time tracking software, they will quickly realize a return on investment and reap the benefits of the system.

Most discussions on the environment tend to be a heated debate. As such, many businesses have embraced the idea of environmental stewardship and their products all of which, reflects their commitment to this cause. A recent study by the IDC highlights how businesses are taking notice of the environment in their own way.

As cloud solutions continue to transform the landscape of IT, companies are becoming more comfortable with this method of deployment. Today, many companies have moved their suite of time and attendance applications to some kind of hosted service and others are likely to follow suit.

ATS cloud time and attendance software has helped organizations derive benefits from a scalable, agile computing environment that also ensures interoperability, portability and mobility.

ATS hosted time and attendance is more flexible than a traditional model, offers cost advantages and frees up server space.

One of the greatest advantages of  ATS cloud time and attendance is that it comes with a lower initial investment, predictable monthly charges, and easy deployment are the few factors which have encouraged small and medium organizations to adopt integrated business structure.

Time and attendance implementation has always been an expensive venture, which has put off many organizations from deploying it.  A cloud time and attendance solution on the other hand, has removed that barrier. Unlike on-premises software there is no upfront investment and the monthly expenses are often predictable and above all, affordable.

By adopting a cloud time and attendance system, companies gain the expertise of ATS technical personnel in multiple areas related to software deployment. Paper waste is one of the biggest contributors to poor environmental practices at businesses, so this benefit should not be overlooked.

A blog by Cindy Waxer titled “A New Dawn for Time and Attendance Technology” encapsulates the importance of a time and attendance system in an organization. Here excerpts of the paragraphs we found most poignant:

“For years, time and attendance software has been the least sexy cousin of the work-force management family – a humdrum tool lacking payroll’s sense of urgency and analytics’ flair for number crunching. But that’s slowly changing.

“For years, time and attendance software has been the least sexy cousin of the work-force management family – a humdrum tool lacking payroll’s sense of urgency and analytics’ flair for number crunching. But that’s slowly changing.

These days, time and attendance software is quickly gaining a reputation for generating more accurate data, boosting revenue and cutting labor costs. In fact, according to “Evolving Time and Attendance,” a report by Aberdeen Group Inc., the best-in-class companies surveyed were able to improve the accuracy of time data by 65 percent and decrease overtime costs (as a percentage of payroll) by 59 percent by using time and attendance solutions.”

Here is another paragraph we felt pretty much sums up the evolution of time and attendance as we know it today.

“Corporate America’s rekindled interest in this age-old HR technology is understandable. More and more companies are now struggling to manage an increasingly mobile, culturally disparate and geographically scattered work force. “A lot of the renewed interest in time and attendance systems has to do with the changing demographics of the work force,” said David Weldon, an Aberdeen analyst and author of the “Evolving Time and Attendance” report. “Companies are trying to capture, analyze and measure data from a lot of different locations for a lot of different people. That’s getting harder and it takes more work to do it right.”

You don’t have to look very far to be inundated with back to school items that are on sale (We are not sure what large screen 46” TVs have to do with back to school but that’s for another blog) during the summer and through the fall.  To understand how big the back to school bonanza has become, just turn on your TV, radio or mobile device.  For example, the Yorkdale Mall has a column completely devoted to back to school items that are on sale. Cynthia Nellis, of About.com has a great article titled “Back to School Blog” in which she touches on the media hype that surrounds us on this very topic.

Recent talk of a double dip recession is the new norm among the so called financial experts. Many of these experts were the same ones back in late 2006 and the early part of 2007 who said there were no signs of a recession.  What has become apparent since our “Great Recession” is that businesses are becoming more vigilant with their expenditures. In that same vein, controlling labour costs is one of the greatest concerns for many businesses, regardless of their size. When productivity and labour costs are aligned with a company’s objectives, rosy forecasts and profits tend to follow. And so, as your business grows beyond manual time tracking and paper time cards, you need a time tracking software designed to ensure you receive the most accurate information. ATS workforce management software enables you to collect, analyze and take immediate control of your labour data – all online and in real time.

At times, the business case for a time and attendance system, does not become apparent until a company’s paper time cards or antiquated punch clock show their inherent flaws. The question then becomes, can you really save time and money and see a return on your investment?

Here are some benefits to using our employee time capture system:

Elimination of paper time card costs

The costs associated with paper time cards include: storing them, distributing them, manually collecting them, routing them for exception checking and, for organizations with multiple locations, shipping them to central locations.

 Preparation of Employee Time Cards

When using a manual system, it takes an average of three to five minutes for an employee to fill out a time card for each pay period. When the preparation of these time cards is processed very quickly, employees are more likely to have inaccuracies. In contrast, it takes mere seconds to make an edit when using an ATS time management system.

Reduction in the Payment of Unproductive Time

When using a manual time tracking system, it is difficult to track employees who leave early, come in late or take extended breaks. The use of a time management system shows the employees who have punched in or out. Companies that automate their time keeping business process reduce data entry errors.

We have only scratched the surface you can get by automating your time tracking methods. The evolution of a 21st century time and attendance system is a distinct advantage for many businesses. By carefully examining your company’s employee data collection, you are likely to find other areas where you can improve the efficiency of your time collection process.

Despite the best efforts of HR management, payroll practitioners and departmental supervisors, employee scheduling has become a constant headache. When asked what would make life easier in your department, the answer invariably amounts to, “I would like a system that can capture our work rule policies and allow me to schedule employees for the right shifts depending on preference and/or business volume. “It is important to note that not all scheduling software is created equal or serves the same verticals. The type of scheduling functionality required by a manufacturing plant will be different from that of a hospital that operates 24/7.

Our employee time and attendance scheduling module empowers managers to accurately create schedules that align labour with anticipated demand, while adhering to all company and regulatory scheduling policies consistently.

The ATS scheduling module meets the needs of the various sectors:

The technology of our scheduling module allows the master scheduler or department manager to quickly identify qualified substitutes and select one to fill the shift.  ATS scheduling software significantly reduces the amount of time, resources and overall cost associated with employee scheduling.

Here are some benefits to using our scheduling software:

  • Produce any schedule for any time frame in minutes to save time
  • Make schedule changes quickly and effortlessly to better utilize staff
  • Pre-assign shifts and time-off to better plan your schedules
  • Print schedules, send them via e-mail, or post schedules online to keep your staff up-to-date
  • Automatically copy schedule patterns and rotations to cut time needed to create reoccurring schedules
  • Display staffing levels to eliminate time-consuming and error-prone calculations
  • Instantly view your shift coverage to assure all shifts remain properly covered and to avoid being under-scheduled
  • See the number of hours scheduled per employee to avoid overtime
  • View available personnel and their contact information to find replacement or assign additional shifts in no time
  • Track staff skills, credentials, and training to find immediately qualified personnel for open shifts
  • Access historical scheduling data to better forecast your staffing needs

The ATS Scheduling module is part of our time and attendance software suite, which gives you complete workforce management control.
