As coronavirus pervades every aspect of life, many companies (big and small) are grappling with how to support their employees during this time when there are many unknowns. And in many of these organizations, employees look to their leaders, in particular, HR for guidance as they navigate through the unknown territory of this pandemic.

Nathan Christensen wrote an insightful guide for HR managers on TLNT.com titled

7 Tips for SMBs to Manage Their HR in the Time of COVID-19

These tips include:

  1. “Communicate honestly and openly with employees. It can be tempting to shelter employees from fears and risks, especially since high stress has been shown to destroy trust and inhibit empathy. But it’s likely your employees are already thinking about the issues keeping you up at night.
  2. Invite employees into the challenge. Surviving during a crisis requires creative and innovative thinking, as well as a willingness on the part of everyone to rise to the occasion. Focus your team on the purpose of your company’s work and the challenges ahead, and invite employees to seek new ways to contribute to the mission of the company, deliver its values, and achieve its strategic objectives. If your employees are invested in your culture, company, and mission, they will respond.
  3. Practice “open-source HR.” One of the unique aspects of the COVID-19 crisis is how broadly it has affected employers. Reach out (virtually) to other business and HR leaders in the community, perhaps through social media groups or by hosting virtual chats.
  4. Pay close attention to the new legislation that is being passed in response to COVID-19. Laws like the Families First Coronavirus Response Act, New York’s paid sick leave for COVID-19, and Colorado’s emergency rules for paid sick leave are important efforts to help employees who have lost pay and work, but they also bring new compliance requirements to employers.
  5. Protect against any semblance of discrimination. During periods of significant change, it’s important to make sure that any actions taken with respect to employees do not discriminate or appear to discriminate based on an employee’s protected class. There are legitimate business reasons for treating groups of employees differently.
  6. Manage your employees holistically.Employees working from home may have additional distractions or disruptions they’re not used to managing during the workday. It’s also possible that employees or their family members are experiencing distressing financial or health-related circumstances. Prioritize the health of not only your employees, but also their support network. If an employee is sick, give them time to get well and forego asking for a doctor’s note (health care professionals are already overwhelmed). Employers shouldn’t lower their standards for employee performance — that can also have a negative impact. But a little flexibility can have a big impact on employee wellbeing, commitment, and contribution.
  7. Understand limitations on privacy. If you need to have a difficult conversation with an employee, such as to notify them of a layoff or furlough, keep in mind that if they are working from home, the conversation may not be a private one. There may be a child, spouse, or roommate in the room with them, which can make it challenging for the employee to process the information and communicate openly.”

Covid-19 pandemic has wreaked havoc on businesses across every industry and, to the global economy as a whole. Organizations in the immediate term, need to ensure that the health and safety of their employees above all else, come first. In the short and long term, covid-19 will change the way businesses operate and compete.

A recent article for TLNT.com by Joyce Maroney titled, Ease Retail Turnover By Making Scheduling More Flexible for online sheds light on the headaches that retail managers endure. Whether you are in retail, healthcare or hospitality, you will run into obstacles when creating schedules for employees — and if those schedules are manual, you will be plagued, with unnecessary headaches.

Here are 3 ways to create better schedules from the article:

  1. Make taking time off easy — Establish a formal (ideally written) policy regarding time off requests and execute that policy consistently to ensure workers trust that the process is fair. Beyond that, actually provide workers with paid time off — to refresh themselves and to help avoid absence abuses — and encourage workers to take the time they want and need.
  • Create personalized schedules — Collaborate with workers when setting their schedules so that their shift preferences are accommodated as much as possible. Take advantage of automated scheduling and analytics tools to ensure that managers have visibility into worker availability and can plan for shift coverage. And don’t forget to provide workers with accrual information and make it easy for them to check their time, request shift changes, and swap shifts with coworkers — bonus points if they can do so from their own phones.
  • Use technology to staff smartly — Seek insight into how to address staffing coverage during uber-busy periods like Black Friday by looking at historical trends of labor drivers, schedule preferences, and booked vacation time. Doing this requires discipline and analysis, but once the models are in place, managers can easily re-run them with little additional effort to help make intelligent and data-backed staffing decisions in real time.

There is nothing typical about an HR managers’ work day. And, depending on the size of the company, an HR managers’ job could encompass; resume screening, recruitment, interviews, retention and that’s just to name a few of the activities that can take up their day. Today’s HR managers are making use of HCM, Talent Management and Time and Attendance Solutions to align their employees with common HR processes and promote a culture of compliance.

Andrew Ly of HRMorning captures a day in the life of the HR manager, with an insightful article titled, 7 ways HRMS can transform your HR department. Below are some excerpts from the article.

1.Manage the hiring process more efficiently

An HRMS solution won’t have as many specialized features as a dedicated ATS software, but it will have the benefit of retaining applicant information if they are hired and onboarded. You’ll also be able to analyze this data and generate reports on the types of candidates that ultimately become successful employees.

2.Engage employees with onboarding and training

Once you’ve hired the right candidate, it will be important for you to keep them engaged from the beginning. Employees that go through a structured onboarding program are 58% more likely to stay with an organization after three years.

With HRMS, onboarding can start even before the new employee reaches the office. Employees can sign administrative documents electronically, catch up on company news and business goals, and join virtual social networks of colleagues. On their first day, they’ll have more time to tour the facility, set up their equipment and hit the ground running.

3. Save time with a self-service portal

Employees often have specific questions about their salaries, benefits and time off. Answering these vital yet routine questions, however, can take up a huge chunk of your day. With a self-service portal, employees can access their information any time, from a remote site or on their mobile phone.

4. Reduce business errors with automated processes and a central database

You know how important it is to maintain accurate payroll and compliance records. Any mistake is not just a headache but also a potential lawsuit. HRMS automates these processes, so that you can worry less about costly errors. It can calculate wages and salaries, deduct the correct amount of taxes and benefits, and print checks or execute direct deposits.

5. Accelerate employee performance

Employees are more productive when they feel that business objectives are aligned with their skill sets and accomplishments are properly rewarded. Yet it may not be clear to you how employees are doing in their roles and whether or not they are succeeding.

6. Understand why employees leave

When an employee leaves, you conduct an exit interview to understand why. The information you get, however, may not always be accurate. Perhaps there are strong emotions surrounding the departure or the employee doesn’t feel comfortable being honest in person.

7. Support your decisions with evidence

Businesses are increasingly looking to HR for more data-driven initiatives and strategies. Whether its recruiting more efficiently, increasing engagement or reducing turnover, senior management wants your decisions to be backed up with quantifiable metrics.

Bottomline: Today’s HR practitioners are acutely aware of the benefits of deploying an cloud-based application like, ATSTimeWorkOnDemand and how it can help increase team efficiency and productivity, by boosting revenue through automation.

So, whether you have 50 or 500 employees in one province, state or country, or 7,000 in several regions, ATSTimeWorkOnDemand HCM cloud will boost engagement and create a great workforce experience for your HR department and company, as a whole.

Employees using their face to record their hours of work is becoming quite common in time and attendance world. And, now it appears that the use of this technology, albeit slowing, is also being adopted at some airports according to a recent article, by Stuart Emmrich titled Will Your Face Be Enough to Get You on a Plane? for The New York Times, and reads in part;

“Earlier this week, the Transportation Security Administration released a 23-page report outlining changes it is proposing on how passengers are screened before boarding their flights. Key among those changes is the proposal that passports and other forms of identification will eventually be replaced by biometric technology.

Early this year, the agency began testing facial recognition technology for international travelers at Los Angeles International Airport. The biometric technology matches facial images to photos in government databases, such as photos obtained from passports or visa applications.

And in 2017, the T.S.A. tested fingerprint technology at the T.S.A. PreCheck lanes at the Atlanta and Denver airports. The technology matches passenger fingerprints provided at the checkpoint to those provided to the T.S.A. by travelers who have enrolled in the PreCheck program.

Biometric technology is also being evaluated by individual airlines. Delta Air Lines announced in September that it is building a dedicated biometric terminal at Hartsfield-Jackson Atlanta International Airport. The technology, to be installed at Terminal F, would allow passengers to check-in at the self-service kiosks, drop off their checked baggage at the counter and then be used as identification at the terminal’s T.S.A. checkpoint”.

If you are unfamiliar with ATS biometric time clocks, these data collectors includes the latest in technology and works, in tandem with our time and attendance application, to deliver exceptional value – helping organizations control labour costs, minimize compliance risk, and improve workforce productivity.

Using ATS biometric technology, your organization can expect:

Options

ATS biometric data collectors, offers enhanced technology, thus allowing employees to easily and more accurately enroll on the time clock’s controlled finger, hand geometry or face recognition template– which reduces, read error rates for a more accurate biometric enrollment, and protect employees’ personal information and eliminate costly buddy punching.

Peace of Mind
Backup battery protects employee information against power outages and flash memory backs up data. And, with open standards, field upgradeability and keypad functions, these time and attendance biometric time clocks are —ideal blend of performance, function, style, and affordability designed for essential workforce management functionality.

Accuracy and Productivity
No more manual data entry which is always prone to errors and, instead can look forward to a best-of-breed application that will enforce pay and attendance policies at the time of an employee recorded hours. An application that will improve workforce productivity by giving employees intuitive self-service access to scheduled hours and time-off balances from any device, from anywhere.

Do’s And Don’ts Of Office Email

July 31st, 2018 | Posted by ATS in Artificial Intelligence | Machine Learning | Workforce Analytics - (Comments Off on Do’s And Don’ts Of Office Email)

Texting has become the preferred method of correspondence with friends and family, over emails. And why not, texting is quicker. Email, however, still reigns supreme in the corporate world so make sure you reserve those quirky jokes and smiley faces for the people with whom you have personal relationships with, like friends and family. Your work colleagues and especially, your boss might not take kindly to the same writing style you use in your personal texts when you are communicating with them.

Do’s And Don’ts Of Office Email

Here are a few email tips from Dawn Rosenberg McKay from an article titled 6 Rules for Email Etiquette in the Workplace:

  1. Mind Your Manners

Even in a world where we are rushing to get things done as quickly as possible in order to move on to the next task, take the time to use good manners in your email. Don’t neglect to say “please” and “thank you.”

  1. Watch Your Tone

Tone is how you, as a writer, can express your attitude in an email message. It influences how it is received. You usually want to make sure to come across to the recipient as respectful, friendly, and approachable. You don’t want to sound curt or demanding. Reread your message several times before hitting send.

When writing to someone with whom you’ve communicated before, begin by saying something friendly like “I hope you are well.” While emojis may help you convey tone more easily, refrain from using them in professional email unless you are writing to someone with whom you have a very informal relationship. Never use them when writing to a prospective employer.

  1. Be Concise

Busy people have neither the time nor inclination, to spend more than a minute reading an individual email. If you want to allow your recipient to read your message quickly, and still understand it, you must keep it brief.

Don’t leave out pertinent details, however. Make sure your message clearly conveys your reason for writing it in the first place. Nobody saves time if you end up having a back and forth while you try to explain the details you omitted.

  1. Avoid Using Texting Abbreviations

Even though you want to save time, you shouldn’t use texting abbreviations in your professional email. If you text a lot, as many people do, you may be accustomed to using a sort of shorthand to speak to your friends. For example, you may use “u,” “ur,” and “plz” instead of “you,” “your,” and “please.” These abbreviations have no place in business correspondence, unless the recipient is someone with whom you have a casual relationship.

  1. Use a Professional Email Address

For messages related to your current job, always use the email address your employer assigned to you. However, you should never use it to send messages that are unrelated to your job, for example, if you are looking for a new one. Use a personal email account instead.

  1. Don’t Forget Spelling and Grammar Count

It is imperative that you proofread your email carefully. Never neglect this critical step, no matter how busy you are. The things you want to be attentive to are correct spelling and proper grammar. In addition to spelling common words correctly, you also want to spell people’s names right, including that of your recipient and the name of his or her company.

Bottom line
In the era of the Internet, artificial intelligence, machine learning, analytics, cool automated business software and access to a dizzying array of mobile apps, the corporate world is conservative, and, how you communicate in that setting has to remain professional, because you never know who may intercept your mail. After all, when your work emails are professional, it’s less likely to put your company at risk.

Keep current with ATS:

Today, on your mobile device, you can order food, pay for movie or concert tickets and even change the temperature on your house thermostat. And, if your phone has the right application installed, you can ask business related questions, specific, to your company, and have the system understand your requests and anticipate your questions based on self-learning. When morphed together, that’s machine learning and analytics, at its core and, that in and of itself, is part of the future.

Machine Learning and Analytics Applications Can Accelerate Your Business

Modern and data-savvy business executives with their eye on achieving operational excellence want, up to the minute information and, also want to ensure that their departmental managers are not tethered to rigid applications.
